48-Hour Cancellation Policy Change

Changes to our way, in light of recent developments, we’ve observed a surge in appointment cancellations and have faced difficulties in reallocating these slots on short notice. We understand that life’s demands can make scheduling challenging, especially for those in immediate need of support. To better manage this issue during these challenging times, we’ve decided to revise our cancellation policy accordingly.

We understand that life is unpredictable and circumstances can change rapidly. Having said that, we also have an obligation to allocate our resources effectively to provide quality care to all our people. We’ve come to realize that this issue isn’t unique to our practice alone. Tracy recently participated in a webinar and found that healthcare practices across Canada are also grappling with a rising number of cancellations.

If you want to be placed on our cancellation lists please let your therapist know or give Sasha a call and she will inform your therapist.

Below are the new policies we have put in place to help us streamline services and fill cancellation spots as they come up.

Notification Requirement: To cancel or reschedule an appointment, you must provide at least 48 hours’ notice by calling our office 336-365-5529 or using the online appointment system.

Late Cancellations: Any cancellation made less than 48 hours before the scheduled appointment time will be considered a “late cancellation.”

Late Cancellation Fee: A full session fee will be charged for late cancellations. This fee is not covered by insurance and will be your sole responsibility.

Emergencies and Special Circumstances: We recognize that unavoidable circumstances may arise that make it impractical to provide 48-hour notice. In such cases, please inform us as soon as possible, and we will assess the situation. Sending your therapist a secure message in the system is a great way to communicate. You can also forward your cancellation via email to your therapist. Cancellations will follow the agreement laid out in your intake form and the terms and conditions you signed.

No-Shows: Failure to show up for a scheduled appointment without prior notice will also be subject to the late cancellation fee.

These changes require a more structured and stringent policy to ensure that we can accommodate as many people as possible while maintaining the highest quality of care.
